Reserves

The University Libraries' online Course Reserves allows library patrons to view listings of materials currently available at Reserve Desks for VT instructors.  To search for reserve material, enter all or part of the instructor's name, last name first.  Alternatively, you may enter the course name or number.  Please bring the call number to the Circulation desk with your Hokie passport to check out any reserve material.  Limited to 2 items checked out at a time.

Checking out material
  • To borrow reserve items, please bring a valid form of identification. We will accept:
    • Hokie Passport
    • Virginia Driver's License
    • Virginia Identification Card issued by the Department of Motor Vehicles (DMV)
    • University Libraries Borrower Card
  • For information on who are eligible users of these IDs, please see the acceptable IDs section.
  • The materials will be checked out on your library account.
  • You may check out 2 items at a time.
  • A label on the book, personal item, folder, video or other media material will indicate the loan period and whether the item may leave the library.
Renewals

Reserve items may be renewed a maximum of 3 times, with the exception of 7 day loan items, which cannot be renewed. Renewals are NOT allowed during exams or if other patrons are waiting on reserve items.

You can renew either in person at the Newman Library Circulation/Reserve Desk or by calling 540-231-6340. (To see renewal information for other branches/units, see their web sites linked below.) You will need to provide your patron ID number and the reserve item number you wish to renew. You will be given a new due date and time. Fines will accrue at $1.00/hour (or fraction thereof) for hourly reserve items renewed late, and at $1.00/day for daily reserve items renewed late.

At certain times, no renewals will be allowed. They include:

  • during Exam Week and Reading Day
  • if a staff member has determined a time of peak usage
  • if the item is in need of repair

Please note that if materials are not renewable, you will be fined if the item is not returned on time.

Fines

Hourly Reserve items (2 Hour Loan and 3 Hour Loan) are fined $1.00/hour overdue.  Daily Reserve items (2 Day Loan and 7 Day Loan) are fined at $1.00/day overdue.

For example:

  • if a reserve item is returned 15 minutes late or 59 minutes late, the fine will be $1.00
  • if the reserve item is an hour and 10 minutes late, the fine will be $2.00.
  • if the reserve item is a Daily Reserve item and it is a day late, the fine will be $1.00

Patrons may pay fines at the Circulation desk.  Accepted forms of payment:  cash, check, or Hokie Passport general funds.

Patrons may appeal Newman Library reserve fines by completing an appeal form available at the Circulation/Reserve Desk.

Reserve fines at other branch libraries (ie. Art+ Architecture Library, Vet Med Library, or the NVC Resource Center) may be appealed at that respective branch.

Instructors: end of semester returns

After the end of exams, library-owned materials will be returned to the collection. Personal materials will be mailed back to the address listed on your reserve form. If you wish to keep any materials on reserve after exams, you must email Reserve.

  • Keep some of my items on reserve, but remove others
Instructors: missing, damaged, or long-overdue materials

If a reserve item becomes missing or damaged, the instructor will be notified promptly by either phone or email.

Patrons who have long overdue reserve materials belonging to the Library will be billed a standard replacement fee. Additionally, the instructor will be notified that the item is unavailable.

University Libraries will not replace lost or damaged personal materials.

Library-owned materials

  • Stored in call number order and are listed in the Reserve Database by Library of Congress call number.
  • Ex: DA591 T8 B67 1990 or Video 5487

Personal Items

  • Assigned a call number by Reserve and stored in numerical order. These may include your personal books / serials, binders of course material, photocopied/PDF articles. Note: Only one copy of photocopied material is allowed for every 20 students enrolled in a class or any fraction thereof, not to exceed a maximum of 9 copies.

PDFs

Courses with electronic materials will be password protected in accordance with copyright guidelines. Professors will be supplied with their password and they will need to pass that information on to their students.

  • Instructors have the option of placing either hard copy photocopies on reserve or having the item scanned and stored as a PDF file accessible via Course Reserves in Addison.
  • PDF files have the added advantage of being available at all hours, even when the Library is closed.
  • Instructors should submit photocopied material (single-sided), not the actual book or journal, for scanning to a PDF file.
  • Please select the PDF file option under loan period on the Reserve request form for this feature. If no option is selected, the default loan period will be 2 hour Library Use Only and the paper photocopies will be placed on reserve.
  • To view PDF files on reserve you will need Adobe Acrobat Reader.
  • Once scanning is completed the photocopy originals will be mailed back to you at your campus address.

Electronic files and web links

  • Instructors can place links for web pages or databases on Reserve, in addition to audio clips, video clips and images/pictures.
  • Professors must provide Reserve with all electronic files or site links. Items are accessible by searching by instructor or course in Course Reserves and then clicking on the desired item link.

Processing time

Reserve Request Forms submitted with course materials will be processed within two business days. Additional processing time will be required at the beginning and end of semesters and before exams. Material that must be searched for, ordered, and/or recalled requires additional processing time.

Copyright law

On the back of each Reserve Request Form you will find a summary of Federal Copyright Laws. This information is also available online at Copyright Guidelines: Reserve. You must read and sign the Reserve Request Form to indicate your compliance with Federal Copyright Laws. You must sign this form for each course you have materials on Reserve.

Copyright law concerning submitting student papers

In compliance with U.S. Copyright Law (17 USC, section 106) and Family Educational Rights and Privacy Act (34 C.F.R. Part 99, Subpart A - General Section 99.1), a professor wishing to place a student paper/project on reserve, must complete a Student paper consent form. This form must accompany the student's work; materials will not be processed without the permission form.
